Shoot Me Photobooths Terms and Conditions

1. General

These Terms and Conditions (“Terms”) apply to all bookings made with LAX Events Limited and/or LAX Events Limited T/A Shoot Me Photobooths (“we/us/our”) for the hire of equipment and services (“Services”), whether booked via our website, email, telephone, or any other method.

By paying the Booking Fee or otherwise confirming a booking, the client (“you”) confirms acceptance of these terms. If you do not agree, please do not proceed with a booking.

We reserve the right to amend these Terms from time to time. The version in force at the time of booking will apply.

2. Definitions

  • Company: LAX Events Limited, 14 Larch Drive, Woodley, Reading, RG5 3LW
  • Client: The person or organisation booking the Services
  • Event: The date, time, and venue specified in the Booking Confirmation
  • Equipment: All photobooth, lighting, printing, props, and associated apparatus supplied
  • Services: Provision of Equipment, setup, operation, and breakdown as detailed in the Booking Confirmation
  • Booking Fee: Refers to the non-refundable deposit required to secure the booking.
  • Hire Charge: The total agreed price for the Services
  • Booking Confirmation: Written confirmation detailing the Event and Services

3. Booking & Payment

3.1 A binding contract is formed once the Booking Fee has been paid and a Booking Confirmation issued.
3.2 The remaining balance must be paid no later than 30 days before the Event.
3.3 Bookings made within 30 days of the Event require full payment immediately.
3.4 Failure to pay the balance when due may result in cancellation of the booking, retention of the Booking Fee, and a £50 late payment charge.
3.5 We reserve the right to cancel a booking without refund where:

  • Payment is overdue or unlikely to be made
  • Information has been deliberately withheld or misrepresented
  • Threatening, abusive, or unsafe behaviour is directed at our staff
  • We reasonably believe the booking is fraudulent or unsafe

Any outstanding balances may be pursued via legal recovery.

 

4. Cancellation & Rescheduling

 

Client Cancellation

Written notice is required. The following charges apply:

31–59 days Booking Fee + 90% of remaining balance
0–30 days Booking Fee + 100% of remaining balance

These charges reflect administration costs and loss of income. We strongly recommend event insurance.

Rescheduling

Rescheduling is subject to availability. A £50 administration fee applies. If a new date cannot be agreed, cancellation charges apply.

Company Cancellation

If we are unable to perform due to circumstances beyond our reasonable control (including severe weather, equipment failure, illness, power failure, or national restrictions), all monies paid will be refunded. No further compensation is payable.

 

5. Venue, Access & Operational Requirements

5.1 The Client must ensure safe, clear, and reasonable access to the setup area, including suitable parking within close proximity.
5.2 We will only load/unload at the nearest safe access point. We will not carry equipment over unsafe or unreasonable distances.
5.3 Any undisclosed access restrictions (steps, gravel, narrow access, height limits, distance, etc.) may result in delayed or non-performance with no refund.
5.4 Setup typically requires up to 1 hour. Delays outside our control will be deducted from hire time.
5.5 For photobooths, a minimum clear space of 3m by 3m and a reliable 13A power socket within 5m are required unless otherwise specified.
5.6 Equipment must be set up indoors or under suitable cover. We will not operate in unsafe, wet, uneven, or exposed environments.
5.7 Equipment is installed in one agreed location only and may not be moved once set up without approval (relocation fee £60).

 

6. Marquees & Outdoor Events

  • Suitable vehicle access directly to the structure is required
  • Ground must be dry and stable; temporary roadways may be required
  • Adequate ventilation must be provided (especially above 25°C)
  • A 16A IP44 power supply is required for outdoor events

Failure to meet these requirements may result in non-performance without refund.

 

7. Client Responsibilities & Behaviour

7.1 The Client is responsible for the conduct of guests and venue staff.
7.2 Abusive, threatening, or unsafe behaviour will result in immediate termination of Services without refund.
7.3 Drinks and glassware are not permitted near the Equipment. Spillages may result in suspension or termination of Services.
7.4 The Client is responsible for all loss or damage (excluding fair wear and tear) caused by guests or third parties.

 

8. Equipment, Failure & Liability

8.1 Equipment is subject to availability. Alternatives of equal or greater value may be supplied where necessary.
8.2 In the event of equipment failure caused by us, a pro-rata refund will be issued for lost hire time.
8.3 Our total liability is limited to the Hire Charge paid. We are not liable for indirect or consequential losses.
8.4 The Client indemnifies the Company against claims arising from misuse of the Equipment.

9. Unattended Equipment & Third-Party Use

  • Only Company staff may handle or move Equipment
  • Tampering may result in service suspension without refund
  • Unattended Equipment remains the Client’s responsibility
  • Performers may not use our equipment unless agreed in writing

10. Fees & Travel

10.1 Prices are confirmed at booking and will not change.
10.2 Travel is included for the first 25 miles; thereafter, it is charged at £1.00 per mile.
10.3 Chargebacks will result in legal recovery plus interest at 8% above the Bank of England base rate.

11. Insurance & Compliance

We hold valid public liability insurance and PAT certification, available upon request. It is the Client’s responsibility to ensure venue approval is obtained in advance.

 

12. Data Protection & Image Rights

12.1 Personal data will be processed in accordance with the UK General Data Protection Regulation (UK GDPR) and applicable data protection legislation.
12.2 The Company may capture photographs, videos, digital images, GIFs, or other media during the Event as part of the services provided.
12.3 All images, videos, and other media produced through the photobooth equipment or captured by the Company remain the intellectual property of the Company. The Client is granted a non-exclusive, royalty-free licence to use the media for personal, non-commercial purposes.
12.4 The Company may create and capture behind-the-scenes content, event atmosphere footage, and images of the photobooth in operation for promotional, portfolio, and marketing purposes, including, but not limited to, use on websites, social media platforms, advertising materials, and promotional displays.
12.5 Unless the Client provides written notice at least 7 days before the Event, the Company may use selected images or media from the Event for marketing and promotional purposes.
12.6 Guests using the photobooth consent to their images being captured and shared digitally as part of the service provided to the Client, including gallery access, prints, and digital downloads.

 

13. Complaints

Complaints must be submitted in writing within a reasonable time following the Event. We aim to acknowledge within 48 hours and respond within 21 days.

Shoot Me Photobooths® and ShootMe Photobooths® are registered trademarks of LAX Events Limited in Great Britain and Northern Ireland. All rights reserved.

15. Agreement & Governing Law

These Terms are governed by the laws of England and Wales.
This version supersedes all previous versions.
